Reinstatements
Sometimes, a job may end automatically by mistake because of processing delays for job extensions or transfers to other jobs. If this happens, a reinstatement transaction is necessary to restore the employee to active status and ensure that there is no interruption in service or pay discrepancies.
- To initiate the process, you must submit the Reinstatement template (UC_REHIRE_REI_AC).
- The REI - Reinstatement Action Reason Code should only be used when an employee was automatically terminated.
- If the employee was not terminated automatically, refer to the Job Aid: Template Transactions – Action Reason Codes and Descriptions for the appropriate Action Reason Code and Smart HR Template.
- UCPath will run monitoring reports to check for benefits reinstatements, but if an urgent issue arises, please open a case with UCPath under the topic "Benefits" and category "Other Benefits Enquiry" and use the subject line "Retro Reinstatement of Job – Request to Expedite Reinstate of Benefits" with a detailed explanation of the urgency.
- It's important to note that reinstatements can affect accruals and payroll, so make sure to review employee accruals and correct any missing balances, confirm any impact on employee pay, and take necessary action.
Former Employee Portal Access
Former employees can access their UC employment information after they have separated from UC by logging into the UCPath via their former Employee Account within one year of their separation.
When an employee's status changes from Active to Inactive, UCPath triggers a welcome email/ invitation to the separating employee to create an account in the Former Employee Portal. This email is sent to the "preferred" personal email in UCPath or the first populated personal email. If they haven't provided a personal email address prior to separating, they must contact UCPath to create an account.
