Reminder: New BR Unit in UCPath


Effective April 1, 2023, a new BR unit was created in UCPath, and academic GSR job codes were mapped to a new salary grade. The new salary grade “1” is mapped to T022 salary admin plan and grade “IV” was inactivated with an effective date of April 1, 2023. Remember to update position numbers with a new union, grade, employee relations code, and effective date of April 1, prior to submitting hire transactions.

Resolved: Issue with updating vacant GSR positions using Position Control

UCPath has resolved an issue for updating vacant GSR positions using the Position Control process. There previously was an issue with the Employee Relation Code mapping to the new appropriate value 'Student Academic Title, Covered by HEERA' that was causing transactions to not save in Position Control upon approval. 

This has since been resolved (8/2/23) and vacant Position Data for GSR titles in the BR unit should save successfully along with the defaulting ERC value: 'Student Academic Title, Covered by HEERA'.

New: Personal Data Change template for UCPath POI records

It is now possible to process a Personal Data Change Template for POI records. New Smart HR Template type: UC_PERSON_DATA_POI UCPath has released the following UPK which outlines the system process:

Important Reminders about Reinstatements and Jobs with Expired End Dates

Inaccurate job end dates may lead to termination, benefits interruption, missing accruals, or overpayment. For any jobs that have recently been reinstated or have an expired end date, please carefully review accruals, pay, and benefits, and take necessary action. See job aids below.

Work-Study: Updated Job Aid for Direct Retros Impacting Work-Study

The Financial Aid & Scholarships Office (FASO) updated the job aid for Direct Retros Impacting Work-Study Funds. Please review the job aid if you are a transactional user who submits direct retros that will impact work-study.

Absence Management/Accruals

Adjustments for accruals (service credit, leaves, vacation, etc.) should be submitted differently depending on the request. Certain adjustments will not require an eForm or a case to be submitted. 

For example, if a correction is needed for an employee’s timekeeping entry for a pay period, this can be done in CalTime as a Historic Edit. If a correction of entered leave needs to be entered beyond one pay period, then this can be processed in the Manage Accruals module in UCPath. 
  • Open a case for: 
    • Payouts or transactions not posted, including Comp Time payout, Vacation payout or reversals
    • Missing accruals due to pay frequency changes
    • Original hire date updates, corrections, or changes
    • Settlement agreements
  • Submit an eForm for:
    • Transfer of balances- moving vacation to a PTO balance (or vice versa) due to an Eligibility Group change
    • Moving Postdoc Sick to regular Sick due to an Eligibility Group change
    • Postdoc entitlements if the anniversary date was not updated
    • Prior State Agency service credit processing
    • Vacation Max Override and PTO Overrides to allow over the max accruals
    • Medical Resident entitlements if hired after the entitlement date
    • Missing accruals for late reinstatements
The Accrual and Leave Accrual Service Credit Processing Job Aid walks through various use cases, and the way the use case should be processed, and then the final column shows notes on the topic. 

Spotlight: UCPath Instructor-Led Training Enhancements


Our current UCPath Instructor Led Trainings have undergone significant improvements based on feedback from transactors and subject matter experts. 

Our updates include streamlining the content focusing on UC Berkeley-specific business processes, offering more training on transaction approvals, enhancing mid-training quizzes to reinforce key concepts and apply materials to real-world scenarios, and providing hands-on practice in a Training Environment.
