Important update for Flow360 users - latest updates and enhancements

This update has information about changes to Flow360 that we would like to inform you about. Although we publish update information regularly on our website and in our tumblr blog we will use this mechanism to keep users informed of important changes. You might like to ensure that your spam filter is set to allow these updates through!

Faster entry of multiple Helpdesk issues

You may have noticed a new button on the Helpdesk issue card, top right.

This allows you add another Helpdesk issue without returning first to the start screen - very useful if you have more than one issue to add. So if you need to add multiple helpdesk issues, this is what you do:
  1. Add the first issue in the normal way
  2. Once you arrive at the completed new issue card, click the new button
  3. The new helpdesk issue form will be cleared ready for the next issue
That's all there is to it!

Location allocations for all users

All users can now have any Helpdesk issues they initiate pre-populated with a default location, making entry of new Helpdesk issues even easier.

To set up a default location for a user, follow these steps:
  1. You need to be logged in as a manager
  2. Then, navigate to the required location
  3. Click the details tab and then the general users sub tab
  4. Now click the Add button, set a time scale (say 1 year) and select the person from your contacts list
  5. Click the Confirm button to finish

The selected person will be added to the general users list for the current location and when they start to enter a new helpdesk issue from the start screen, the location will be preset.

Automatic email delivery enhancement

It has always been the case that automatic messages are delivered to users by email if their preference is set for that to happen. Now the same preference setting means that private messages can also be delivered by email automatically, ensuring that no user ever misses an important communication because they haven't logged on to Flow360 for a day or two!

How do I know if a message will be delivered by email as well?

When you click the message button on the contact list or on a person's contact card the new message dialog will have their email address already preset and locked if they have this preference set up. In addition, when you look at a sent messages you will see confirmation that it was delivered by email as well.

Bulk changing of task due dates

Sometimes it's useful to be able to change settings for a whole set of tasks in one go. Now you can even change due dates in this way and Flow360 will intelligently handle tasks that are currently active or tasks that will be past their end dates.

Where do I find this new option?

  1. Click the Change settings button on the tasks list from any location
  2. Select the appropriate option from the drop down list
  3. Set the due date or select the range to shift dates by and click Confirm to finish

NOTE: The selected setting change will only be applied to those tasks where it is appropriate to make the change. So, when changing due dates, any tasks that are already active, past their end dates or have constraints on them will not be touched. This makes it easy to reset settings for a number of tasks at once without worrying whether it is an appropriate change for each one!

New task notes when adding new resources

The resource entry form has always allowed users to quickly add new resources and schedule tasks all at the same time. Now you also add additional task specific notes that will be transferred to any resulting works order without further intervention from you.

This is particularly useful during survey operations when it is useful to provide more detailed notes on what needs to be done. These notes will be available to contractors or in-house teams in addition to any standard notes and method that is linked to the task.

Simplified task reports

We have simplified the amount of text detailing the resource location on many of our standard task reports.

The resource column now shows the object and it's parent location rather than the full path to it's location, making the reports easier to read. We hope you like the change!
