[WFA] Job End Dates & Reinstatements

March 31, 2025, is a common Expected Job End Date in UCPath. If the "End Job Automatically" box was selected, UCPath may have already terminated impacted employees.

This is a good reminder for all HR transactors to regularly review the UCPath HR Monitoring Report, typically sent out in the first week of each month, to catch upcoming job end dates and make timely updates. Regular review helps prevent issues like:

  • Unintended terminations
  • Pay discrepancies
  • Benefit interruptions
  • Overpayments
  • Loss of system access

In addition, be sure to check the Reinstatement Status Report, which usually goes out around the 8th or 9th of each month. This report shows any reinstatements that have already been processed.

📅 Pro tip: Set a recurring calendar reminder to check both reports monthly to stay ahead of issues!

[GL] Direct Retro Tool to be Retired in June

UCPath has confirmed that the Direct Retro tool will be retired in June 2025. Once retired, transactors will still be able to view processed transactions via the Review Retro Distribution page, but will no longer be able to redistribute earnings that require a Direct Retro. 

As a reminder, paychecks require use of the Direct Retro tool if: 
  • The earnings are from October 2021 or earlier, or
  • The earnings have previously been redistributed via a Direct Retro
The final date to approve direct retros is in discussion and will be communicated along with fiscal close dates.

[Employee Self-Service] PREVIEW: UCPath is Getting a Fresh Look This July

Coming in late July, UCPath will launch a new user interface designed to improve your overall experience. When you log into UCPath online to view your paycheck, check your accrual balances, or open the PeopleSoft Homepage to transact, you will notice a new look and feel. UC Berkeley has been collaborating with UCPath and other UC locations to test and implement these updates, which aim to help you quickly access the information you need. Stay tuned for more updates as we get closer to the launch!

UCPath Training Schedule for Transactors

Registration is open in the UC Learning Center for the upcoming UCPath Instructor-Led Training (ILT) sessions. Please use the keyword “UCPath” when searching in the UC Learning Center to find UCPath trainings. *New Hires*: If someone is new to UCB / UCPath or has never attended any of the UCPath training sessions, please ensure they complete the prerequisites before attending an instructor-led training session.

Did you know?

Over-allocating Positions

While the UCPath system allows the over-allocation of the position, we strongly recommend against it. 

What if I have a new hire being trained by the current incumbent?  You should have two separate positions …

  • one for the outgoing and 

  • one for the incoming incumbent 

… to ensure there are no negative downstream consequences in UCPath or in other downstream/upstream systems, like CalTime or the UC Learning Center.

Over-allocation Best Practice:

  •   do not over-allocate positions whenever possible

  •   do not over-allocate represented or supervisor positions

Over-allocation Downstream Consequences:

There are downstream consequences of over-allocating positions, including

  • impacts to CalTime, UC Learning Center, Achieve Together  (e.g., downstream systems aren't designed to have one employee reporting to two or more supervisors)

  • impacts to job data for all employees in the over-allocated positions

  • PayPath does not allow a Position Data update to one employee’s record when in an over-allocated Position; only Job Data can be updated for the employee

  • potential GL issues that might be observed with over-allocating a position
